How to Set Up and Use Review Response Approvals
To help businesses maintain a consistent brand voice across every customer interaction, review response approvals bring structure and control to how replies are published. With this feature, users can submit drafted responses for review before they go live, ensuring that every message reflects brand tone and compliance standards. Designated approvers from your enterprise user list can review, edit, and approve responses—streamlining collaboration while safeguarding brand integrity.
Approval Setup
Navigate to ‘Settings,’ select ‘Reviews,’ and click ‘Approval.’
Click ‘Create approval.’
Click the edit icon to enter the title of the approval, and users can also effortlessly add a step name by clicking the edit icon corresponding to ‘Step 1.’
For example, add the title as ‘Responding to negative reviews,’ and change the step name to ‘Primary approvers.’
Enter the approvers’ names from your enterprise. You can add up to 10 approvers per step.
In case you need to add a secondary set of approvers, you can click ‘Add step’ to add more approvers.
Click ‘Create’ in the top right corner after setting up the approval flow.
After creating the approval, you will be redirected to the ‘Approval’ home screen.
Hover over the approval name, click ‘Actions’ to edit, duplicate, disable, or delete the approval workflow.
Submitting Review Responses for Approval
Navigate to ‘Reviews AI,’ select the desired review, and write a reply or generate one using AI.
Click the dropdown button next to ‘Post reply’ and select ‘Submit for approval.’
Select the appropriate approval from the dropdown option.
Click the ‘Submit’ button for approval submission.
Approving and Rejecting Approval
Once the approval is submitted. The approvers can view the approval in the ‘Awaiting Approval’ tab.
In this tab, the approvers can ‘Approve’ or ‘Reject’ the review response. For example, the approval click ‘Approve.’
The review response gets posted and is removed from the ‘Awaiting Approval’ tab.
If the approval decides to ‘Reject’ the response.
The approver has the option to provide the reason to reject and click on ‘Reject’ to confirm the rejection.
The rejected approval can be viewed under the ‘Rejected Response’ tab, and the user has the option to fix the response and submit again by clicking the ‘Fix and submit again’ button.
